Description:

This position requires the student employee to perform basic duties to assist with the mission and purpose of Guest Services. The duties include, but are not limited to: both incoming and outgoing phone calls and emails related to event scheduling and coordination on campus, event document generation, and overseeing the Hunter Alumni Center and the operations within. This student position will mainly be responsible for the scheduling and coordination of events in the Hunter Alumni Center. From time to time, this position may help with the scheduling and coordination with youth camps on campus during the summer months. Student will be responsible for assisting the Manager of Guest Services and Centralized Scheduling if needed, but will work directly with the Hunter Alumni Center Event Coordinator.

Student will be required to learn and become efficient with the Coursedog Scheduling software, basic Quickbooks, and basic Dropbox. S/he will be required to generate Facilities Use Agreements and estimates for events on campus and provide insurance information for guests. This position required dependability, a strong commitment to excellence, good time-management skills, multi-tasking, and a strong attention to detail.

The Guest Services and Centralized Scheduling offices are open and staffed throughout the year. We are open over Fall Break, Christmas Break, Spring Break, and during the summer months when campus is open.

This position is a 20-hour per week position, between the hours of 8am to 6pm.

Qualifications:

  • Must be well organized with strong attention to detail.
  • Must be personable and work well with others.
  • Must be comfortable communicating in a professional manner by phone, email, and in person.
  • Must have excellent verbal, spelling, and grammatical skills.
  • Must be able to take direction and work both independently and as a member of a team of student employees and SUU staff.
  • Must be self-motivated and complete tasks, often with short deadlines.
  • A professional manner and dress is expected.
  • Must maintain the ability to see an event from start to finish using effective time-management.
  • Must be a quick learner and able to retain important event information.
  • Must be able to maintain confidentiality at all times.
  • A knowledge of campus facilities is a plus.
  • Must be able to multi-task with the ability to work on multiple events at the same time.
  • Prior event management experience is a plus.
  • Must be willing and able to work during campus breaks, when campus is open, even when classes are not held.
